Quick Rundown:
The Maintenance Coordinator plays a critical role in ensuring that maintenance requests and services are carried out in a timely and efficient manner. This position focuses on managing vendor relationships, overseeing tenant maintenance requests, and ensuring that property maintenance standards are met. The Maintenance Coordinator is responsible for providing exceptional service to residents, vendors, owners, and internal team members while working closely with Property Supervisors to manage maintenance processes and workflows
What Youll Do:
Serve as the primary point of contact for residents in need of maintenance services.
Listen to maintenance concerns, identify issues, and coordinate timely resolution.
Identify, schedule, and manage appropriate vendors to address maintenance repairs and requests.
Communicate vendor schedules and updates to residents, ensuring a smooth coordination of services.
Follow up with both vendors and residents to confirm that maintenance repairs have been completed satisfactorily.
Address any follow-up work required and ensure completion.
Charge tenants for maintenance invoices and expenses that they are responsible for.
Ensure that all charges are accurate and in accordance with policies and procedures.
Generate and distribute 24-hour notices to enter properties for inspections, repairs, and other necessary tasks.
Maintain accurate and up-to-date records of maintenance activities and resident communications.
Coordinate with city inspectors, housing programs, Section 8, fire department, and other agencies for urgent maintenance or repair needs.
Address and manage any city citations, ensuring compliance with local regulations.
Organize and schedule annual property inspections, including smoke detector and CO2 inspections.
Record and report findings, coordinating necessary repairs based on inspection results.
Set up utilities and monthly services for vacant units or newly acquired properties, ensuring that all services are functional before residents move in.
Monitor and manage maintenance-related expenses, ensuring that work orders do not exceed maintenance limits without prior approval from owners.
Work closely with Maintenance Manager, Property Supervisors, On-Site Managers, and Owners to anticipate potential issues and proactively prevent maintenance concerns.
Maintain strong communication with the Maintenance Team and Property Supervisors, providing regular updates on work order statuses and repair completions.
Possess working knowledge and ability to recognize repair requirements in areas including plumbing, painting, appliance repairs, electrical, HVAC, carpentry, pool upkeep, fire systems, and grounds maintenance.
Spanish proficiency preferred to support communication with Spanish-speaking residents and vendors as needed.
What Were Looking For:
Previous experience in property maintenance coordination, or similar roles, preferred.
Education: High school diploma or equivalent required; further education or certifications in property maintenance preferred.
Strong communication and interpersonal skills.
Ability to manage multiple tasks and prioritize effectively.
Solid understanding of maintenance processes and vendor management.
Proficiency with maintenance software and basic office tools.
Knowledge of plumbing, electrical, HVAC, painting, carpentry, and other general property maintenance tasks.
Bilingual: Spanish proficiency preferred.
